Pick Calendly if your work is mostly meetings: sales calls, consultations, interviews, client check-ins on Zoom. Pick Acuity Scheduling if you run a service business where people book, pay, fill out a form and show up: clinics, salons, coaches, studios. That's the short version. The rest of this page gives you prices, features and the cases where neither tool is the whole answer.
TL;DR
- Calendly is built for meetings. It has a free plan, quick setup and 150+ integrations, per Zapier's 2026 comparison.
- Acuity is built for appointments. It has no free plan, but it adds intake forms, packages, memberships, deposits and a HIPAA option on its top plans.
- Pricing: Calendly Teams is $16 per seat per month. Acuity runs from $16 to $55 per month, flat, with annual billing.
- Clinics and service shops: Acuity is usually the closer fit. Either tool only handles the booking itself, so missed calls, slow follow-up and no-shows still need a plan.

Calendly vs Acuity at a glance
Both tools let a client pick an open slot on your calendar, then send confirmations and reminders. Where they split is what they think a booking is.
Calendly treats a booking as a meeting. Calendly describes itself as a tool for the work around meetings: scheduling, payments, notes and follow-ups. Acuity treats a booking as a sale of a service. Its own site lists self-service branded booking pages, client intake, payments, availability management and automation.
| Calendly | Acuity Scheduling | |
|---|---|---|
| Built for | Sales teams, consultants, freelancers | Service businesses, coaches, clinics, studios |
| Free plan | Yes (one event type, one calendar) | No, 7-day trial |
| Paid pricing | Teams $16 per seat/month | $16, $27 or $55/month (promo, annual billing) |
| Pricing model | Per user | Per plan, with calendar limits |
| Integrations | 150+ | 30+ |
| Payments | Stripe, PayPal | Stripe, Square, PayPal, Venmo |
| Packages and memberships | Multi-session bundles | Packages, memberships, gift certificates |
| HIPAA BAA | Not covered here | Premium plan |
| Setup | Fast | More involved |
Integration counts and use cases come from Zapier's comparison. Pricing details come from each vendor's pricing page, covered below.
Pricing: what you actually pay
This is where most people start, so here are the numbers straight from each vendor.
Calendly pricing
Calendly's pricing page lists a Free plan at $0 with one event type, one calendar connection, one-on-one scheduling and a customizable booking page. Teams is $16 per seat per month. Enterprise starts at $15,000 per year with a 50-seat minimum, in USD only.
The key word is seat. Every person who needs their own booking link adds to the bill. Solo, the cost is tiny. With a front desk and four providers, it scales with headcount.
Acuity pricing
Acuity's US pricing page lists three plans, billed in USD, excluding taxes:
| Plan | Promo price | Regular price | Calendars |
|---|---|---|---|
| Starter | $16/month | $20/month | 1 |
| Standard | $27/month | $34/month | Up to 6 |
| Premium | $55/month | $69/month | Up to 36 |
Each plan has a 7-day trial with no credit card required, and there is no free tier. Acuity prices by plan rather than by seat, so a bigger team doesn't automatically mean a bigger bill. Zapier's take: Calendly is better value for solo users and small teams, and Acuity is cheaper at scale.
Prices change and promos come and go, so check both pages before you buy.
Features that matter for appointment businesses
Payments, deposits and packages
If money changes hands at booking, Acuity goes further. Per Zapier, Acuity offers invoicing, coupons, gift certificates, tipping, deposits, multi-session packages and memberships. Calendly offers Stripe and PayPal payments, discounts and multi-session bundles.
By plan, Acuity Starter covers one calendar, payments through Stripe, Square, PayPal and Venmo, email reminders, custom client forms and automatic time-zone conversion. Standard adds text reminders, waitlists, memberships, packages and gift certificates. Those details are on Acuity's pricing page.
Intake forms and client records
Acuity's official site describes custom intake forms, deposits, cancellation policies and reminders, all aimed at fewer no-shows and less admin. Calendly's own comparison says Acuity extends booking into client databases, intake forms and invoicing. For a clinic that needs a form completed before the visit, that's a real time saver.
Integrations and virtual meetings
Calendly leads here. It has native support for Zoom, Google Meet, Microsoft Teams, Webex and GoTo Meeting, plus 150+ integrations including CRM tools, according to Zapier. Acuity has 30+. If your day is video calls feeding a CRM, Calendly slots right in.

Team scheduling
Calendly's per-seat model and round-robin style team tools suit sales and consulting teams. Acuity's multiple calendars suit a business with several practitioners, rooms or locations. Premium handles multiple staff and location time zones.
Ease of setup
Calendly is the quicker start. Zapier calls its interface especially straightforward, and you can have a link live in minutes. Acuity is still intuitive, but you configure more: services, prices, staff calendars, intake forms, deposit rules.
That extra setup isn't wasted effort. It's the same stuff you'd otherwise handle by phone and email. But budget an afternoon, not ten minutes.
Healthcare and HIPAA
If you run a dental or medical clinic, this section decides things. Acuity's Premium plan lets you sign a Business Associate Agreement (BAA) for HIPAA compliance, per its pricing page. Acuity's HIPAA help article says you need the Premium or Powerhouse plan to enable it, and that the BAA covers Acuity only, not other Squarespace features. So don't store patient information anywhere outside Acuity under that agreement.
A BAA doesn't make you compliant by itself. How you set up intake forms, who has access and what you send in reminder texts still matter. Ask your compliance officer or healthcare attorney before you collect health details in any booking form.

Which one should you choose?
Choose Calendly if:
- You book calls and video meetings, mostly one-on-one
- You need your CRM and video tools connected fast
- You're solo or a small team and want to start free
Choose Acuity if:
- You sell services with set prices, durations and staff
- You need deposits, packages, memberships or gift certificates
- You collect intake forms or need a HIPAA-ready setup
- You have several calendars or locations
Calendly's own comparison article makes the same split from its side: Calendly's strength is streamlined meeting scheduling around connected calendars, while Acuity's broader client management appeals to businesses replacing several admin systems.
Where a scheduler stops
Here's the thing neither tool tells you. A booking page only works for people who find it and use it. A lot of lost revenue happens before the link ever gets clicked:
- A patient calls at 12:15 while your front desk is at lunch. No one answers. They call the next clinic.
- A lead fills out a form on Tuesday. Nobody replies until Friday.
- A booked appointment gets forgotten. The slot sits empty.
Calendly and Acuity both send reminders. But connecting the phone line, the website, the CRM, the follow-up texts and the calendar into one flow is a different job. If you want to dig into the no-show side, see our notes on SMS appointment reminders and how to test outreach in a 4 to 8 week pilot. For leads, here are four triggers that automate follow-up without sounding like a robot.
Perspective
We see this choice a lot, and the honest pattern is that the tool is rarely the problem.
Owners compare Calendly and Acuity for a week, pick one, and then still lose bookings. Why? Because the calendar is the last step. Before it comes the phone ringing with no one to pick up, the inquiry that sits in an inbox, the reminder nobody sent. Fix those and either scheduler works better. Skip them and the fanciest one just holds empty slots.
That's why we do hands-on implementation instead of handing you a slide deck. We build the pieces around your scheduler: an AI phone receptionist that answers and books, follow-up that goes out the minute a lead comes in, reminders that cut no-shows, and a CRM that keeps it all in one place. We design it around how your owner-led business actually runs, then stay on to support it.
So pick Calendly or Acuity using the checklist above. Then ask what happens on the way to the booking page. That's where we come in.

FAQ
Is Acuity better than Calendly?
It depends on what you book. Acuity is better for service appointments that need payments, intake forms, packages or memberships. Calendly is better for meetings, quick setup and wide integrations. Neither wins every case.
How much is Calendly vs Acuity Scheduling?
Calendly has a free plan, and Teams costs $16 per seat per month. Acuity has no free plan and charges $16, $27 or $55 per month on promotional annual pricing, with regular prices of $20, $34 and $69. Check the Calendly and Acuity pricing pages for current rates.
What are the disadvantages of Calendly?
The main thing to plan for is cost and scope. Per-user plans add up for larger teams, and it doesn't offer Acuity's subscriptions, memberships or broader intake forms, per Zapier. For solo consultants and sales teams, those rarely matter.
Is there a better option than Calendly or Acuity for a clinic?
For a clinic, the scheduler is one part of the system. You also want calls answered, reminders sent and leads followed up. We build that around the scheduler you choose. See our automated appointment scheduling guide for how a pilot works.
Can I use Acuity for HIPAA-covered appointments?
Acuity lets you sign a BAA on its Premium or Powerhouse plan, and the agreement covers Acuity only. Confirm your setup with your compliance officer or healthcare attorney before collecting health information.
